# Vendor Price Lists

> Record what each vendor charges for an item over a validity period, and search those prices by vendor, item or date.

Record what each vendor charges for an item over a validity period. Search those prices by vendor, item or date.

### **Business Value**

* Keeps agreed vendor prices in the system instead of a spreadsheet.
* Finds a price by vendor, item or the date it applies.
* Feeds the price comparison on Purchase Request lines.
* Dates each price. Expired agreements are easy to see.
* Opens from the Purchasing menu.

### **Use Cases**

* Purchasing manager records the season's agreed prices for each vendor.
* Buyer checks which vendors quoted an item before raising a request.
* Cost controller lists every price valid on a date to review an agreement.

### **How It Works**

| **Where:** Back Office → Purchasing → Price Lists |
| - |

A **price list** entry is one vendor's price for one item in one unit, over a validity period. Each entry has:

| Field | Meaning |
| - | - |
| **Vendor** | The vendor offering the price. |
| **Item** | The item the price is for. |
| **Unit** | The unit the price is quoted in. |
| **Price** | The price per unit, in the property's base currency. |
| **Valid From** | The first day the price applies. |
| **Valid To** | The last day the price applies. |

A vendor can have **one price per item per unit**. Recording the same vendor, item and unit again updates the entry. It does not add a second one.

#### **Finding the Screen**

**Price Lists** now sits under **Back Office → Purchasing**, right below **Return Request**. Before, the screen had no menu entry.

#### **Searching**

The search area above the listing has three fields:

* **Vendor** — an autocomplete. Type part of a vendor's name or code and pick the vendor.
* **Item** — an autocomplete. Type part of an item number or description and pick the item.
* **Valid on date** — a date picker. It shows only prices whose validity period covers that date.

Picking a vendor or item filters on that exact record. Two vendors with similar names are never mixed up. The three fields work together. You can ask for one vendor's price on one item next Monday.

Both autocompletes replace the old free-text boxes, which did not filter the listing. Filters now change the rows you see.

#### **Search Results and Clearing**

* Your selections stay in the fields after searching. You can see how the listing is filtered.
* **Clear** empties the search and reloads the full list.

| **Note:** Prices are held and compared in the property's base currency. A vendor quoting in another currency has to be recorded at the converted price. |

Price lists can be loaded and pulled out in bulk. See [Import and Export Vendor Price Lists](/back-office/purchasing/import-and-export-vendor-price-lists). Buyers can also compare recorded prices on a request line. See [Compare Vendor Prices in Purchase Requests](/back-office/purchasing/compare-vendor-prices-in-purchase-requests).
