# Kwentra Pay — Automatic Payment Method and Settings Permissions

* Payments administrator marks the AAIB USD card automatic so charges route correctly.
* Finance manager gives a supervisor edit access and keeps others read-only.
* Administrator withholds the delete permission so staff cannot remove payment methods.

### **How It Works**

Each Kwentra Pay provider holds several payment-method cards. Each card is linked to a payment department, which sets its currency.

An **Automatic** flag now marks the card to use when the system charges a saved VCC on its own. It works with the [Automatic VCC Charge via Night Turn](/compliance-integrations/kwentra-pay-automatic-vcc-charge-via-night-turn) and [Bulk VCC Charge](/compliance-integrations/kwentra-pay-automatic-vcc-charge-via-night-turn#bulk-vcc-charge) features.

#### **Mark a Payment Method as Automatic**

1. Open a provider's settings and select a payment-method card.
2. Turn on the **Automatic** toggle. It is off by default.
3. Click **Save**.

That method is then used for VCC charges in its own currency.

Only **one** method can be Automatic per currency, across the whole instance and every provider. Save a second one for the same currency and you get an error:

> Cannot save this payment method as automatic: another automatic payment method already exists for currency \<CURRENCY\_CODE>. Only one automatic payment method is allowed per currency.

The check runs as you save, and on the server.

| **Note:** Turning **Automatic** off only makes the card non-automatic. Reservations already routed do not change. Only future routing does. The flag does not affect the manual **Kwentra Pay** dialogue in Billing → Tools → Payment. |

#### **Kwentra Pay Settings Permissions**

Three permissions control the Kwentra Pay settings screens. All three are in the **Administrator** group by default:

* **Can view Kwentra Pay settings** — read access to every Kwentra Pay provider settings screen.
* **Can edit Kwentra Pay settings** — creating and updating, including the **Automatic** flag and the **Add / Save** actions.
* **Can delete Kwentra Pay settings** — deleting payment-method cards.

How they are checked:

* Without **view**, the **Kwentra Pay** entry under Integrations is not shown.
* The **Add / Save / Delete** buttons are **not** hidden or disabled. The permission is checked **on click**.

Click a button you lack the permission for and nothing happens. You get a message instead:
