# Room Upgrades Report

> Track every room type upgrade, with filters for when the change happened, when the guest stayed, and when the guest arrives.

Track every room type upgrade, and pull them by the reservation's arrival date.

### **Business Value**

* Tracks every room type change with its date and time.
* Shows which user made each upgrade.
* Pulls upgrades by the reservation's arrival date.
* Shows the original and the upgraded room type.
* Monitors free upgrades given away.

### **Use Cases**

* Income auditor pulls upgrades for reservations arriving in one month.
* Front office manager reviews who granted free upgrades.
* Revenue manager checks which room types are upgraded from and to.

### **How It Works**

| **Where:** Reports → FO → Front Desk → Room Upgrades |

#### **Running the Report**

All parameters are optional. Leave them empty to get every upgrade.

1. **Moving Date** — the day the room type changed.
2. **Reservation From / To Date** — matches the whole stay, not the arrival. A guest who arrived weeks earlier still appears.
3. **From Arrival Date / To Arrival Date** — matches the **arrival date only**, no matter the departure date.
4. **Original Room Type** — the room type upgraded from.
5. **Upgraded Room Type** — the room type upgraded to.
6. **User** — one user's upgrades only.

Then choose **Preview**, or export to Excel (XLS / XLSX / ODS) or PDF.

| **Note:** The three date filters combine with **OR**, not AND. A row appears if it matches the Moving Date, **or** the Reservation range, **or** the arrival range. |

#### **Using the Arrival Date Filter**

Use this filter to find upgrades on reservations arriving between two dates. The Reservation range cannot answer that, because it matches the whole stay.

* Fill one date and the other becomes required.
* **To Arrival Date** cannot be before **From Arrival Date**.
* Leave both empty and the report works exactly as before.

#### **Report Columns**

| Column | What it returns |

| Guest Name | The main guest on the reservation. |
| Arrival | The arrival date. |
| Departure | The departure date. |
| Adults | Adults on the upgraded night. |
| Children | Children on the upgraded night. |
| Original Room Type | The room type before the upgrade. |
| Upgraded Room Type | The room type after the upgrade. |
| Room Number | The current room number. |
| Changed Night | The night that was upgraded. |
| Actual Date | The date the user made the upgrade. |
| User | Who made the change. **admin** means the system did it. |

| **Note:** You get one row per upgraded night, not per reservation. A seven-night stay upgraded throughout returns seven rows. |
