# Hide Room Types With No Rooms

> An optional feature that hides room types with no active rooms from the Room Type picker on the Individual and Group Reservation screens.

### **Business Value**

* Prevents dead-end bookings on room types that have no rooms.
* Shortens the Room Type picker to bookable options only.
* Reduces front-desk errors after a room type is retired.
* Keeps historical reservations intact — saved room types still display.
* Enable it per property — hotels that want every room type listed keep it.

* Front desk agent picks a room type and always finds a room to assign.
* Reservations manager retires a room type — it disappears from the picker automatically.
* Group coordinator builds a rooming list without choosing unbookable room types.

### **How It Works**

A room type with no rooms can never have a room assigned to it, so a reservation booked against it can never be completed. Room types cannot be deleted from the system, because historical reservations still reference them. Instead, they can be hidden where they are a dead-end choice — the room type picker on the reservation screens.

#### Turning the feature on

Hiding is controlled by the **Hide room types without rooms** feature. It is a Beta feature, it is **off by default**, and it carries no extra charge. Contact the Kwentra team to have it enabled for your property.

* **Off (default):** the Room Type field and its lookup list every room type, including those with no rooms.
* **On:** room types with no rooms are hidden from the Room Type field and its lookup.

Some properties keep room types with no rooms visible on purpose — for example, types that are still being set up — so the behavior is opt-in per property rather than applied to everyone.

#### What changes when the feature is on

* The **Room Type** field and its search lookup list only room types that have at least one room.
* This applies on the **Individual Reservation** screen and on the **Group Reservation** screen.
* **"No rooms" means no active rooms.** A room type whose rooms have all been deactivated is treated as having no rooms, and is hidden as well.

#### Reservations already booked on a hidden room type

Hiding applies only to *picking* a room type, never to *showing* one that is already saved. An existing reservation booked on a room type that is now hidden continues to display that room type correctly when you view or edit it.
