# Consolidated Profit and Loss Summary Report

### **Business Value**

* Replaces the manual monthly consolidation of every hotel's P\&L in a spreadsheet.

#### **Running the report**

| **Parameter**    | Description                                                                                                               |

| **Date**         | Mandatory. Month picker — only the month is considered, the selected day is ignored.                                      |
| **Zero balance** | Mandatory. Show or Don't Show. On Don't Show, lines with no activity across *all* selected hotels are hidden.             |
| **Calendar**     | Mandatory. Gregorian or Hijri.                                                                                            |
| **Hotels**       | Multi-select. Only hotels with the British Accounting System enabled are offered. Leave empty to run all eligible hotels. |

| **Note:** Hotels without the British Accounting System enabled are excluded entirely — they are not offered in the Hotels parameter and none of their data is included. Demo and head-office instances are never offered or included. |

#### **How figures are consolidated**

* Lines are matched across hotels by their department or line code — the same line from different hotels becomes one row with the amounts summed.
* **Currency:** no conversion. Amounts are summed as-is, matching the other consolidated reports.
* **Budget** figures are the sum of the selected hotels' budgets for the same lines.
* **Percentages** (% of total revenue) are recomputed from the consolidated totals — never summed or averaged from the individual hotels' percentages.
* **Hotel Statistics:** room counts such as occupied rooms and rooms to sell are summed, while ratio KPIs such as Occupancy % and revenue per available room are recomputed from the combined totals.
* **YTD and last-year windows** use the financial year shared by all hotels in the group.

#### **Report columns**

The statement is structured identically to the single-property [Profit and Loss Summary](/back-office/bo-reports/profit-loss-statement), with the monthly columns to the left of the line description and the yearly columns to the right. Each amount column carries its own percentage.

Every section of the single-property statement carries over: Revenue, Cost, Payroll and Other Expenses for each department (Rooms, F\&B, and so on), Department Profit, OH Expenses, G.O.P, Deductions, NOP, and the Hotel Statistics section.

| **Note:** This is one combined statement — there is no Hotel column and no per-hotel breakdown. To see a single property's figures, run the Profit and Loss Summary on that hotel. |

#### **Permissions**

Running the report requires a dedicated permission, granted to the **Multi Property Financial Controller** role. Users without it do not see the report in the Reports menu.

Both remain available — use this report for the full departmental statement. |
