# Consolidated Trial Balance Report

> Run the British GL Trial Balance for every British-system hotel in the group, summed into one combined report.

Run the British GL Trial Balance for every British-system hotel in the group as one combined report.

### **Business Value**

* Replaces the group trial balance built by hand in a spreadsheet.
* Gives auditors one document for the whole portfolio.
* Decides each account's debit or credit side per hotel before summing.
* Stops the run when the selected hotels use different financial years.
* Opens only for the Multi Property Financial Controller permission.

### **Use Cases**

* Group financial controller reconciles every account across the portfolio in one run.
* External auditor signs off the group's accounts from a single trial balance.
* Corporate accountant traces a group account's movement without opening each hotel.

### **How It Works**

| **Where:** Multi-Property Hub → Reports → GL → GL Trial Balance |
| - |

The trial balance shows every account with its opening balance, the period's debits and credits, and its closing balance. Before, it ran on one hotel at a time. The group figure was built by hand in a spreadsheet.

**The report keeps its existing shape.** Sections, rows, columns, order, subtotals and the ODS layout match the single-property [GL Journal Voucher - GL Trial Balance](/back-office/bo-reports/gl-journal-voucher-gl-trial-balance-report). Only the figures change. Each one is the sum of the same figure across the selected hotels.

#### **Running the report**

| **Parameter** | Description |
| - | - |
| **From Date** / **To Date** | Required. The period the movements cover. |
| **Details level** | Required. Main accounts, or T0 to T4. The level applies to every hotel in the run. |
| **Account type** | Optional, multi-select. Assets, Equity, Liabilities, Revenue, Expenses, Creditor, Other Items. |
| **From Main Account** / **To Main Account** | Optional. An account-code range, same as single-property. |
| **Calendar** | Required. Gregorian or Hijri. |
| **Show zero balance accounts** | Zero-balance accounts are hidden by default. |
| **Hotels** | Multi-select. Only hotels with the British Accounting System are listed. Leave it empty to run all of them. |

| **Note:** Hotels without the British Accounting System are not listed. None of their data is included. Demo and head-office instances are never included. |
| - |

#### **How the rows are built**

* One line per account. Lines are grouped by **Account Type**, then **Account Group**, then **Main Account**. Each grouping has a subtotal, and the report has a grand total.
* At Details level T0 to T4, each line splits further by the analysis code at that level. At **Main accounts** those columns are blank.
* Lines are matched across hotels by account type, account group, main account code and analysis code. The same account from different hotels becomes **one row** with the figures summed.
* An account that exists in only some of the selected hotels **still appears**. It carries the total of the hotels that have it.
* An account with an opening balance but no movement still appears, as it does per hotel today.
* The City Ledger sub-tree stays rolled up into its parent account, as today.

#### **Report columns**

Each column is the sum of that same column across the selected hotels.

| **Column** | What it shows |
| - | - |
| Opening Balance — Debit / Credit | What the account held when the period opened. |
| Debit | Everything posted to the debit side during the period. |
| Credit | Everything posted to the credit side during the period. |
| Closing Balance — Debit / Credit | The opening balance plus the period's net movement. |
| Total Balance | Closing debit less closing credit. |

#### **Debit and credit sides are decided per hotel, then summed**

Each account has a nature, debit or credit. A balance positive in its own nature prints in that column. A balance the other way prints in the opposite column. **That decision is made on each hotel's own balance before the hotels are added together.**

Worked example — one account across two hotels, period 1 to 31 July 2026:

| | Hotel A | Hotel B | Consolidated |
| - | - | - | - |
| 1010 Cash in Hand — Opening | 250,000 Dr | 90,000 Dr | 340,000 Dr |
| 1010 Cash in Hand — Debit | 180,000 | 40,000 | 220,000 |
| 1010 Cash in Hand — Credit | 60,000 | 25,000 | 85,000 |
| 1010 Cash in Hand — Closing | 370,000 Dr | 105,000 Dr | 475,000 Dr |

#### **Revenue and expense accounts open from the financial year**

* A revenue or expense account's opening balance is measured from the opening of the financial year. The period's figures are then read within the current year, not since the account was created.
* The [Consolidated Balance Sheet](/multi-property/consolidated-balance-sheet-report) uses the same mechanic for its Forwarded From P\&L line.
* Consolidated, this is applied **per hotel against that hotel's own financial year**. Only then are the hotels summed.
* Balance-sheet accounts — Assets, Liabilities, Equity and Creditor — carry their balance forward as normal.

#### **What the report checks before it runs**

* **All selected hotels must share the same financial-year opening month.** Every revenue and expense opening balance is measured from it. If the hotels disagree, the report **refuses to run** and names the hotels that differ.
* **Total Debit equals Total Credit** on the period movement columns. This is the basic double-entry check. It holds on an **unfiltered** run, at every details level and in both calendars.
* Selecting one hotel gives output identical to that hotel's single-property Trial Balance.
* A hotel with no data for the period contributes zero. It does not remove or duplicate any line.

| **Note:** Total Debit and Total Credit do **not** match once you narrow the run. Selecting Assets and Liabilities under Account type drops the revenue and expense sides of the same journal vouchers. A Main Account range that cuts across a voucher does the same. Check a filtered run against the per-hotel figures, never against itself. |

#### **Groups that run a head office instance**

The report is offered only to companies that do **not** run a head office instance on the British Accounting System. A group that runs one uses that instance's own statement. Every property is already posted there.

* For those companies the report is **not listed** in the Multi-Property Hub reports menu. Even a user with the Multi Property Financial Controller permission does not see the entry.
* A head office instance **without** the British Accounting System does not hide the report. The company still sees it and runs it.
* Companies with no head office instance are unaffected.
* Visibility follows the head office flag. Flagging or unflagging an instance changes the menu on its next load.

| **Note:** Hiding is limited to the menu. A direct link or a saved call still runs the report and returns the consolidated figures. |
| - |

#### **Permissions**

The report uses the same permission as the single-property British GL Trial Balance. It is granted to the **Multi Property Financial Controller** role. Without it, users do not see the report in the hub.

| **Note:** This is one combined report. There is no Hotel column and no per-hotel breakdown. To see one property, run the GL Trial Balance on that hotel. |
