# Import Item Expense Accounts

> Bulk-load item expense account configurations from the Item Expense Accounts screen — now available to any user with the add/edit permission, not just internal staff.

Bulk-load item expense account configurations from a sheet instead of adding them one row at a time.

### **Business Value**

* Speeds up setup by importing many expense account rows at once.
* Opens the Import to your own finance and cost-control users.
* Removes the internal-staff-only restriction on the action.
* Shows the Import only to users who can add or edit configurations.
* Prevents duplicate rows during every import.

### **Use Cases**

* Cost controller bulk-loads expense account configurations for a new property in one import.
* Finance user updates many item expense accounts from a sheet instead of row by row.
* Administrator grants the add/edit permission so a team member can run the Import.

### **How It Works**

**Where:** POS → Settings → Item Expense Accounts → Import
-

* The **Import** action is available to any user who holds the **Add/edit Item Expense Account Configuration** permission. It no longer requires an internal-staff account.
* The **Import** button appears on the screen only for users who have that permission.
* Prepare your sheet and run the Import as usual to load the configurations in bulk.

#### **Duplicate Prevention**

* Every import is still checked for duplicates, for all users.
* If a row repeats an item with the same store and account family, the import is blocked with a message such as **"Item *x* already exists in the import with same store and same account family"**.

**Note:** No new permission is introduced. Access is controlled by the existing **Add/edit Item Expense Account Configuration** permission, which an administrator can grant to Back Office and cost-controller roles.
