Use Cases

  • The front office agent wants to upgrade a loyal guest to a higher room type at no extra cost, directly while blocking the room.
  • Operations manager audits room assignments and performs multiple upgrades during busy periods without switching screens.
  • Staff with proper permissions efficiently grant complimentary upgrades without risking charging the higher rate.

Technical Know-How

  • Go to Front Office → Room Blocking.
  • When updating the Room Type for a reservation:
    • If the user has the “Free Room Upgrade” permission, a Free Room Upgrade pop-up will appear.
  • The pop-up follows the same design and workflow as the existing feature.
  • In the pop-up, you can:
    • Confirm the upgrade is complimentary (not charged to the guest).
    • The system will automatically update the “Room To Charge” field to reflect the original (lower) room type price, ensuring no overcharging.
  • Complete the upgrade and proceed with the rest of the workflow as usual.

Permissions & Behavior

  • Only users with the “Free Room Upgrade” permission will see the upgrade pop-up when changing room types from the Room Blocking screen.
  • The behavior and UI are identical to the Individual Reservation upgrade pop-up to ensure consistency.
  • No impact on users without permission; the screen behaves as before.
