Export the Group Reservations list to Excel or CSV, the same way you export individual reservations.

Business Value

  • Exports the group list to Excel or CSV.
  • Includes every group that matches your filters, on all pages.
  • Saves copying group details off the screen by hand.
  • Keeps the list’s sort order in the file.
  • Controls who can export with a new permission.

Use Cases

  • Front office manager exports the week’s groups to share with sales.
  • Reservations agent exports a filtered list to chase rooming lists.
  • Group coordinator opens the file in Excel and sorts it by arrival.

How It Works

An Export Reservations menu now sits below the search panel. It has two options: Excel and CSV. It looks and works like the export on Individual Reservations.

Running The Export

  • Set your search filters. Then pick Excel or CSV.
  • The file covers every group that matches the filters, across all pages.
  • It keeps the list’s current sort order.
  • The file is built in the background, with a progress bar. It downloads on its own when ready.
The export is blocked on a restricted property, the same way the individual export is.

The New Permission

The permission is called Can export group reservations.
  • Without it, the button is disabled. This matches the individual export.
  • Every default permission group holding Can export individual reservations and the group view permission also gets the new one.
  • So anyone who can already export individual reservations can export groups too.

What The File Holds

The file has one row per room line, as the list screen shows it.
  • The group’s own details repeat on each of its rows. Every row then makes sense on its own.
  • A group with no room lines still exports as one row. Its room columns are blank.
  • Empty values export as blank cells.

Columns

Both Excel and CSV use these columns, in this order. Points to know:
  • Rate per night and Currency are the room line’s figures, as shown on the list. Amounts stay in their own currency. Nothing is converted.
  • Unsplit counts rooms not yet split into individual reservations.
  • Rooming List counts rooms already split.
  • State covers Expected, Rooming List and Canceled. The file includes whatever states your filter picks.
