Report Business Value: The reservation list report helps you see your reservations depending on the combination of dates you search with, the reservation list combines the usage of most operational reports “expected departures and arrivals” and add more data input to the search results.
  • Shows reservations with other guest names.
  • Has the option to show reservations’ notes.
  • Has the option to show the reservations that got created within a date range “reservation made on date”.
  • Has the option to filter the reservation based on its state “canceled / Noshow etc.”
  • Has the option to show guests’ form of identification and nationality
How it works? Reports → FO → FrontDesk → Reservation List
  1. Select whether you would like to view the reservations With rate or without.
  2. Select the grouping option you desire for the exported reservations, whether by arrival date or meal plan or other options, the preferred option is to Group by channel.
  3. Select the sorting option of the reservations and how you want the reservations to be arranged, you can sort by guest name or reservation ID, the preferred option is to Sort by room number.
  4. Optional: choose to run the report for specific channles, rate codes or room types.
  5. Select whether your would like to Show Remarks and internal notes per reservation or not.
  6. Fromdate / Todate: Selecting to show reservations using those 2 dates will get you all the reservations between 2 selected dates, very useful to know the total reservations you will have for specific dates regardless to their arrival departure dates.
  7. From arrival / To arrival dates: useful to identify the arrival reservations between 2 selected dates.
  8. From departure / To departure dates: useful to identify the departing reservations between 2 selected dates.
  9. From creation / To creation dates: useful to identify the reservations that got created between 2 selected dates.
  10. Select the State you would like to see “expected, cancelled, checked out etc.”
  11. Select a specific Booker to see the reservations made under a certain person.
  12. Select a specific room number to see the reservations assigned to a specific room number.
  13. The on hold status and from/to hold date are all optional, only to be used if we’re using the on the reservations.
  14. Select whether to Include guest identity for each reservation or not.
  15. Choose to Preview or the Export option you desire i.e. Excel “XLS / XLSX / ODS” or PDF.
Report Column Output:
  • ID: returns the unique reservation ID per reservation.
  • Room: returns the room number assigned to this reservation.
  • Type: returns the room type assigned to this reservation.
  • Name: returns the primary guest name on the reservation, under it in the second line would be the other guests on the reservation.
  • Arrival / Departure “date & time”: returns the dates of the reservation and their actual arrival & departure times.
  • Voucher: returns the value added to the voucher number field on a created reservation.
  • Adults: returns the number of adults on this reservation.
  • Children: returns the number of children on this reservation.
  • Channel: returns the channel this reservation was created under.
  • Booker: returns the value selected in the booker field on a created reservation.
  • Group: if the reservation belongs to a group reservation it will appear under this column.
  • Status: returns the current state of the reservation whether its cancelled, expected or no show etc.
  • Meal Plan: returns the current board time the guest is booked on like bed & breakfast, half board, no meals etc.
  • Hold Status / Hold Until: those 2 columns are specifically for the on hold feature, if a reservation is on hold it would say on hold under the hold status column and it would add the time the on hold would expire under the hold until column.
  • Created on / by: returns the time stamp of reservation creation and which user created it.

Total Stay and Currency Columns

The Reservation List Report now shows total stay amounts and the rate currency for each reservation when the “With Rate” parameter is selected. Select the “With Rate” parameter to enable the new columns. New and Updated Columns When “With Rate” is selected, the following changes apply:
  • Two existing columns are renamed for clarity:
  • Rate → Rate Per Night
  • Base Rate → Base Rate Per Night
  • Three new columns are added after the “Net Base Rate” column.
Note: The 3 new columns only appear when the “With Rate” parameter is selected.
