See who checked out across all your hotels in one run.

Business Value

  • Replaces running the report hotel by hotel and merging the files by hand.
  • Keeps the same columns and layout staff already know.
  • Adds a Hotel column, so you see where each guest stayed.
  • Adds a By Hotel grouping with each hotel’s totals.
  • Opens only for users with the report’s own permission.

Use Cases

  • A group manager sees all check-outs for the week across every hotel.
  • A financial controller checks rates and payers for departed guests in one file.
  • A multi-property night auditor downloads departures without opening each hotel.

How It Works

Before, Actual Departure ran one hotel at a time. Now it runs across the hotels you pick and returns one file. It sits next to the Consolidated Expected Arrival report. The single-hotel Actual Departure report does not change.

Running the Report

  • If Todate is before Fromdate, you see: To date cannot be before from date.
  • If From time is later than To time, you see an error. It reads: The ‘From time’ value cannot be later than the field ‘To time’.
  • Each channel, rate code and room type name is listed once. Picking it covers every hotel that has it.

Report Layout

The sheet keeps today’s layout. Only these parts change:
  • The header shows the company name and the hotels you picked, or All hotels.
  • The title row reads Actual Departure Consolidated with your date range.
  • A new first column, Hotel, is filled on every line. Id and Room numbers repeat across hotels.
Under each reservation, extra lines can show other names, remarks and billing instructions. They always come from that reservation’s own hotel. Each group has a header row and a footer row. The footer shows Rooms, Adults and Children. With rate adds Rate and Net Rate. One Total row at the bottom shows the whole group’s total. With Group by = None, there are no group rows. A hotel with no check-outs adds no rows.

Report Columns

All rate columns come from the reservation’s last night.

Totals

  • Rooms is the number of reservation rows.
  • Adults and Children are added from each row.
  • Rate is the sum of Base rate. Net Rate is the sum of Net base rate.
  • Each footer and the Total equal the same figures from each hotel run one by one.

Names Must Match Exactly

Groups are matched across hotels by exact name.
  • {code}_Booking.com at two hotels makes one group. Its footer covers both hotels.
  • Names that differ even slightly stay as separate groups.

What Counts

  • Individual reservations in Checked Out status count.
  • The actual departure date must fall between Fromdate and Todate. Both dates are included.
  • Group members show one by one, with the group name in the Group column.
  • Group block reservations are not listed.
  • Expected, in-house, cancelled and no-show reservations never show.

Permission

The report has its own permission pair. One permission runs it. The other opens every file format. Both go to the same roles as the Channels Revenue YTD Consolidated report. These include Multi Property Financial controller and Multi Property Night auditor. Without them, the report does not show in the Reports menu.
