Business Value
- Replaces the spreadsheet that merges each hotel’s balance sheet by hand.
- Shows what the whole group owns and owes in one run.
- Sums each hotel’s own result into the forwarded profit line.
- Stops the run when the selected hotels use different financial years.
- Opens only for the Multi Property Financial Controller permission.
Use Cases
- Group financial controller produces the month-end position for the portfolio in one run.
- External auditor reviews one group statement instead of one per hotel.
- Corporate analyst compares group assets and liabilities against last year.
How It Works
Before, the British Balance Sheet ran on one hotel at a time. Group users opened each hotel and added the figures up by hand.
The report keeps its existing shape. Sections, rows, columns, order, subtotals and the ODS layout match the single-property British Balance Sheet. Only the figures change. Each one is the sum of the same figure across the selected hotels.
Running the report
The two sides
Assets and Liabilities print as their own sheets, as today.- Assets covers accounts of type Assets. It leaves out the internal control accounts: Reservation, PayMaster, OnHold_AR, Basic_AR and City Ledger.
- Liabilities covers accounts of type Liabilities, Equity and Creditor, grouped by account type.
How the rows are built
- Each line is one account line. Lines are grouped by Main Account, then by Account Group. Each group has a subtotal, and each side a grand total.
- At Details level T0 to T4, each line splits further by the analysis code at that level. At Main accounts those columns are blank.
- Lines are matched across hotels by main account code, account group and analysis code. The same line from different hotels becomes one row with the amounts summed.
- An account that exists in only some of the selected hotels still appears. It carries the total of the hotels that have it.
Report columns
Each line has the same four money columns as the single-property statement, in two groups. Each one is the sum of that figure across the selected hotels. The movement columns are summed as movements.
The Last-year pair prints only when Last Year is set to Show.
The Profit/Loss — Forwarded From P&L line
The last line of the Liabilities side carries the group’s profit. It is profit not yet closed into retained earnings. Revenue and expense accounts sit on neither side. The sheet needs this line to balance. Consolidated, it is the sum of each hotel’s own result. Each hotel’s revenue less its expenses, then added together. It is not worked out again from group revenue and expense balances.- This month is each hotel’s revenue less expenses for the selected month, summed.
- YTD is each hotel’s revenue less expenses from the opening of its financial year to the selected month-end, summed.
- The two Last-year columns work the same way, against the previous financial year’s opening.
Total Liabilities is the group’s summed liabilities, equity and creditors plus the forwarded P&L line. This is the same as single-property. In the example, the group’s liabilities, equity and creditors come to 1,300,000 for the month and 26,000,000 year to date. Total Liabilities then reads 2,200,000 for the month and 31,300,000 year to date.
What the report checks before it runs
- All selected hotels must share the same financial-year opening month. The forwarded P&L line is measured from that opening. If the hotels disagree, the report refuses to run and names the hotels that differ.
- The sheet must balance. Total Assets equals Total Liabilities, forwarded P&L line included. This holds at every details level, in both calendars and on both zero-balance settings.
- Selecting one hotel gives output identical to that hotel’s single-property Balance Sheet.
- A hotel with no data for the period contributes zero. It does not remove or duplicate any line.
Groups that run a head office instance
The report is offered only to companies that do not run a head office instance on the British Accounting System. A group that runs one uses that instance’s own statement. Every property is already posted there.- For those companies the report is not listed in the Multi-Property Hub reports menu. Even a user with the Multi Property Financial Controller permission does not see the entry.
- A head office instance without the British Accounting System does not hide the report. The company still sees it and runs it.
- Companies with no head office instance are unaffected.
- Visibility follows the head office flag. Flagging or unflagging an instance changes the menu on its next load.
