Introduction
The Multi Property Availability feature gives you a quick and easy way to see how many rooms are available across all of your hotels in one place. Instead of checking each hotel separately, you can view and compare availability for multiple hotels side by side. This helps you make better reservations, pricing, and room allocation decisions.Feature Overview
- One-Stop View: All your accessible hotels appear in a single table (“grid”), showing the number of available rooms for each day.
- 15-Day Window: You can choose a start date, and the system shows availability for that date plus the next 14 days (a total of 15 days).
- Filters: You can narrow down the hotels and rooms shown in the table by choosing room types, star ratings, cities, or specific hotel names.
- Quick Actions: You can click on any day’s availability number to view existing reservations or add a new reservation immediately.
Using the Availability Screen
- Accessing the Multi Property Screen
- After you log in, look for a button called Multi Property.
- Click it to open the new Availability screen.
- Choosing Your Date Range
- You’ll see a field called From Date at the top of the screen.
- Select a date (it can’t be before today).
- The screen will then show the availability for this date plus the next 14 days—15 days in total.
- Each column in the table represents a different day. Under the day’s date, you’ll also see the corresponding Hijri date.
- Filtering Your Results
- Room Type: Pick one or more room types (like Single, Double, Suite) if you want to focus on specific types of rooms. If you skip this, you’ll see all room types by default.
- Hotel Category (Star Rating): Choose the hotel’s star rating (e.g., 3-star, 4-star, 5-star) if you only want to see hotels of a certain level.
- City: If you want to see hotels in one or more specific cities, select them here.
- Selected Hotels: You can also directly select the exact hotels you’d like to see, which can override other filters.
- After choosing your filters, click Search to update the table.
- Reading the Table (Grid)
- Left Side: Lists each hotel (Property ID and Hotel Name).
- Top Row: Shows the dates (Day/Month/Year), plus the day of the week (Mon, Tue, etc.) and the Hijri date below.
- Cells: Each cell shows how many rooms are available for that hotel on that specific day.
- Summary Row: The bottom row displays the total availability for all listed hotels on each date.
- Taking Quick Actions
- When you click any availability number in the table, a small menu pops up. You can:
- View the Reservation List for that date.
- View the Group Reservation List for that date.
- Add an Individual Reservation (with the chosen date as the arrival date).
- Add a Group Reservation (also with the chosen date as the arrival date).
- Once you choose an action, you’ll go straight to the relevant screen, with the date already filled in.
- When you click any availability number in the table, a small menu pops up. You can:
Troubleshooting / FAQ
- I can’t select a date earlier than today. Why not?
- The system only shows availability starting from the current date onward, to avoid confusion with past data.
- What if I don’t choose any Room Types?
- You’ll see the total availability for all types of rooms for each hotel.
- Why are there no hotels showing in my grid?
- Check your filters (City, Star Rating, or Selected Hotels). You might have chosen a combination that doesn’t match any available hotels. Try clearing or broadening your filters.
- How do I see only certain hotels?
- Use the Selected Hotels option to pick the exact hotels you want to display. You can also filter by city or star rating to narrow things down.
- I clicked on a cell, but nothing happens.
- Make sure you have permission to view or add reservations. If you don’t, contact your system administrator or a manager who can grant you the correct permission.
- I don’t see the “Multi Property” button at all.
- Your account may not have the required permissions. Talk to your administrator about granting you the “Multi Property” project and “Availability Page” permissions or adding you to the new “Central Reservation” role.
